2. What this policy covers
This policy explains what personal information we collect, why we collect it, what we do with it, how long we keep it, and what rights you have. It applies to:

- People who enquire about our services
- Couples who book us for wedding coordination or full wedding planning
- Wedding guests, family members and suppliers whose details are shared with us as part of planning a wedding
- People who follow or contact us on social media
3. Information we collect
3.1 Information you give us
- Enquiry information — your name, email address, telephone number, wedding date, venue, estimated guest numbers, and anything else you tell us in your enquiry.
- Booking and contract information — your full names, home address, contact details, billing details and the signed agreement.
- Wedding planning information — supplier names and contact details, venue details, timings, running orders, seating plans, décor and setup requirements, transport arrangements, and any other details needed to coordinate your day.
- Guest information — where you share it with us, this may include guest names, dietary requirements, accessibility requirements, and contact details for key people such as the wedding party or nominated contacts.
- Correspondence — emails, WhatsApp messages, call notes and meeting notes.
- Payment information — we record the amounts paid and the dates of payment. Bank transfers go directly to our business account; we do not store card details.
3.2 Information we collect automatically
When you visit dorsetweddingco.com we may collect limited technical information such as your IP address, browser type, device type, the pages you visit and how long you spend on them. This is collected through cookies and similar technologies — see section 9.
3.3 Information from other sources
We may receive information about you from your venue, your other suppliers, or from a wedding directory or referral partner through which you found us.
4. Special category information
Some of the information shared with us during wedding planning is what the law calls “special category” data, because it is more sensitive. This can include:
- Dietary requirements which reveal a health condition or allergy
- Accessibility or mobility requirements
- Religious or cultural observances relevant to the ceremony or catering
We only process this information where it is necessary to coordinate the wedding properly, and we only share it with the specific suppliers who need it — for example, passing a dietary requirement to your caterer. We do not use it for any other purpose.
Where we process this kind of information, we do so on the basis of your explicit consent, or because it is necessary to establish, exercise or defend legal claims.
5. Why we use your information, and our legal basis
The law requires us to have a valid reason (“lawful basis”) for using your personal information. Ours are set out below.
Where we rely on legitimate interests, we have considered whether our interests are outweighed by your rights, and we have concluded that they are not. You can object to this — see section 10.
6. Information about other people
To coordinate your wedding we need information about your suppliers, your wedding party and sometimes your guests.
If you share other people’s information with us, you confirm that you are entitled to do so. We ask that you let those people know that their details have been shared with a wedding coordinator, and that they can read this policy at dorsetweddingco.com.
We only use guest and supplier information for the purpose of coordinating your wedding. We do not add guests or suppliers to any marketing list.
7. Who we share your information with
We share information only where it is necessary. This may include:
- Your wedding suppliers and venue — timings, logistical arrangements, and relevant requirements such as dietary needs.
- An assistant, second coordinator or replacement coordinator working with us on your wedding.
- A content creator or photographer engaged by us, where you have consented to marketing content being captured.
- Our service providers — email, cloud storage, planning software, accounting software, website hosting and e-signature providers. These providers process information on our instructions and are bound by contract to keep it secure.
- Our accountant, insurer or professional advisers, where necessary.
- Emergency services, the venue or security, where there is a safety concern on the day.
- HMRC, regulators or law enforcement, where we are legally required to do so.
We never sell your personal information, and we do not share it with third parties for their own marketing purposes.
8. Photographs, video and social media
With your consent, we may capture and use photographs and video from your wedding — including setup, décor, suppliers, the venue, behind-the-scenes coordination and, where you agree, images of you and your guests — on our website, Instagram, TikTok, Facebook and in our marketing and portfolio materials.
This consent is entirely optional. It is recorded separately in your contract, it does not affect the price you pay or the service you receive, and you can withdraw it at any time by emailing us.
If you withdraw consent, we will stop using the content and remove it from our website and social media within a reasonable period. We may not be able to recall content that has already been shared by others or printed.
We will not publish images of children without the consent of a parent or guardian. If a guest tells us or our content creator that they do not wish to be photographed for marketing purposes, we will respect that.
9. Cookies
Our website uses cookies — small files stored on your device.
- Essential cookies make the site work (for example, remembering form entries). These are always on.
- Analytics cookies help us understand how visitors use the site so we can improve it.
- Marketing cookies may be used if we run advertising, to measure whether an advert worked.
We will ask for your consent before setting any non-essential cookies, and you can change your choice at any time through the cookie settings on our website or by clearing cookies in your browser.
Some pages may include content from third parties such as Instagram or a booking or enquiry form provider. Those third parties may set their own cookies and have their own privacy policies.
10. Your rights
Under UK data protection law you have the right to:

- Access the personal information we hold about you.
- Rectification — ask us to correct information that is wrong or incomplete.
- Erasure — ask us to delete your information, where there is no good reason for us to keep it.
- Restrict processing — ask us to pause using your information while a concern is resolved.
- Data portability — ask for a copy of information you gave us, in a reusable format.
- Object — object to us using your information where we rely on legitimate interests, and object at any time to direct marketing.
- Withdraw consent — where we rely on your consent, you can withdraw it at any time. This does not affect anything we did before you withdrew it.

After these periods we securely delete or destroy the information.
12. How we keep your information secure
We take reasonable steps to protect your information, including password-protected devices and accounts, two-factor authentication where available, reputable cloud storage providers, and limiting access to those who need it.
No system is completely secure, but we will tell you and the Information Commissioner’s Office promptly if there is a breach that is likely to affect your rights.
13. Storage outside the UK
Some of our service providers — for example cloud storage, email or social media platforms — may store information outside the UK. Where this happens, we take steps to ensure the information is protected to a standard equivalent to UK law, such as relying on UK adequacy regulations or standard contractual clauses.
14. Children
Our services are not directed at children, and we do not knowingly collect information directly from them. We may hold limited information about children attending a wedding — such as names, ages for seating or catering, or dietary requirements — where their parent or guardian has shared it with us for that purpose.

We may update this policy from time to time. The current version will always be available at dorsetweddingco.com, with the date it was last updated shown at the top.
